Years of experience have taught us that booking a long-distance trip with a local organization brings uncertainties. On this page, we provide an explanation of our company, operating procedures, and the terms and conditions we adhere to.
Our company
Budi Tours is a 100% Indonesian company. We operate from Yogyakarta, Java, since 2007. We do not have a branch or office in Europe. We also organize your trip from here, our conversations take place via email and/or Skype. From this city, we prepare your trip and accompany you during your journey. The people working at our office in Yogyakarta are the ones you have direct contact with.
Contacts
On the various islands, we work together with local people. We prefer to collaborate with local small businesses. Often, these are sole proprietorships or family-owned companies. However, this is not always possible on every island, or sometimes sole proprietorships grow into larger businesses. For us, the most important thing is that your trip has a good mix of seeing what there is to see and having a local experience; in our opinion, this mix creates that unforgettable experience. The best possible facilitation of your trip is our priority, and to achieve this, good collaboration with local parties is essential.

PACKAGE TRIP
Books (booking) On our site you will see the trip that you would like to take, then the following steps can be completed quickly. You email us which trip (each package trip has a title or code) you would like to make and (if already known) what your arrival and departure dates are (you buy the international flight ticket yourself). We will then send you this trip for confirmation in a travel itinerary, you approve that itinerary and that is a so-called ‘firm booking’ for us (if you make any changes, it will become a customized trip).
Schedule Trip: We are now going to plan your trip. First, we will book hotels for the desired rooms on your travel dates. We will also schedule a driver and car and arrange excursions (if necessary). Once all of this is confirmed in writing by our local people, we will email you a ‘booking confirmation’ and we will also send the invoice for the trip with the payment details.
Room not available: If the desired room is not available, we will immediately offer an alternative. If possible, within the same price range. The offered alternative is often blocked (it is not always an option in high season). You will receive a customized quote, and then we will discuss/email it with you. Only after your approval will a final schedule be made, and after approval, we will definitively plan your trip. When you have received a booking confirmation and an invoice, the trip is confirmed and booked.
Communication between booking and travel: There is often a long time between a confirmed booking and the first payment date. A time during which questions can always be asked, but intensive contact is not necessary. As soon as your trip is about to start, the contact will become more intensive again.
Receipt payment: Once we have received the full payment (see our payment terms), you will receive vouchers (if desired and necessary), the phone number of your first driver, and a detailed travel itinerary. This contains important information such as the departure times of trains or pick-up times on certain days presented again.
During the trip: During your trip, we will always be in contact with your driver or guides, but there are also moments when we will speak to you personally. If you have questions, you can reach out directly (phone numbers will be provided before the trip in the ‘information guest booking’ document) or through your driver.
After the trip: At the end of the trip, you will receive an email with an evaluation form.
Tailor-made travel
In a tailor-made trip, the contact moments are always more intensive. It involves exploring exactly what your travel wishes are. After an initial contact in which you indicate which island you want to go to, how many people will join, in which period, and what kind of trip you want to take (nature, culture, very active or preferably more beach), we will get to work and translate these wishes into a (first) travel itinerary.
Intent to book: A first travel itinerary is often referred to as a discussion document. It is a first draft. Based on the provided travel wishes, we create a first travel itinerary (V1) including an appropriate quote. You provide feedback on this, and then we email an adjusted proposal to which you again provide comments (or perhaps it is already completely to your satisfaction). If you are satisfied with the proposed travel itinerary and the arrival and departure dates are known, we check the availability of rooms. We then email a final travel itinerary along with an appropriate quote.
Books (booking): As soon as the arrival and departure dates are known, we create a final itinerary and after approval of that final proposal, a so-called ‘firm booking’, we will start definitively planning your trip. Rooms are confirmed, we schedule the driver and car, and finalize excursions.
Booking confirmation: When all of this has been confirmed to us in writing by our local representatives, we will email you a ‘booking confirmation’ and we will also send you the invoice with payment details right away.
Room not available: if the desired room is not available, we will immediately offer an alternative. If possible, within the same price range. Only after your approval will a final schedule be made, and after that agreement, we will finalize your travel planning. If you have questions, you can ask them directly (we will provide phone numbers before the trip in the document ‘information guest booking’) or through your driver.
After the trip: At the end of the trip, you will receive an email with an evaluation form.
Payment terms:
If you choose to travel with Budi Tours and have made a booking, and Budi Tours has confirmed this booking, then the following payment conditions apply:
- 20% of the total amount to be paid no later than 8 weeks before arrival in Indonesia
- 30% of the total amount to be paid no later than 4 weeks before arrival in Indonesia
- 50% (the remaining amount) of the total sum must be paid no later than 1.5 weeks before arrival in Indonesia.
We do not require a deposit. However, payments necessary to guarantee a booking for a room/villa will be charged immediately.
Cancellation:
In the case of cancellation, we apply the following cancellation terms:
- In case of cancellation from the 18th day (incl.) to the 14th day (excl.) before the arrival date: 30% of the total travel cost,
- In case of cancellation from the 14th day (incl.) to the 7th day (excl.) before the arrival date: 50% of the total travel cost,
- In case of cancellation from the 7th day (inclusive) before the arrival date, 100% of the travel sum.
Terms and conditions:
Budi Tours is a small company, and the people we work with are often small independents. This allows us to put together a trip well and according to your wishes at a competitive price, but it also means that an unexpected increase in costs cannot be ‘absorbed’ by us. Therefore, all our quotes are subject to a number of terms and conditions.
- The mentioned prices in a given quote are only valid according to the provided travel schedule. If there are changes to this schedule (location, days, dates, or hotel), we will prepare a new quote.
- We can only guarantee the availability of room(s) after receiving a firm booking.
- Given quotes are valid for a limited time only. The expiration date is indicated in your travel itinerary.
- Quotes are based on the current situation in Indonesia. We reserve the right to pass on any increase in fuel prices (BBM) or unannounced entrance fee increases imposed by the Indonesian government afterwards.
- Excursions are set up based on the current situation in Indonesia. Any natural phenomena are, of course, unpredictable and may cause the route or daily planning (on-site) to be adjusted. Any additional costs are the responsibility of the traveler.
