Terms and Conditions

Our primary goal is to share the beauty of this country with as many travelers as possible. We do this through transparent and clear trip preparation. Regular contact by email or Skype throughout the planning process ensures personal, direct, and clear communication. Our experience has shown that having certain conditions in writing often provides greater clarity for travelers.

Booking

All of our travel proposals and any changes to them are free of obligation. 

Should you be satisfied with the travel proposal, you may proceed to confirm it as a booking. Budi Tours will only finalize the booking upon your request. After the booking is confirmed, our operations staff will proceed with arranging your tour with hotels, driver(s), additional transport (trains, boats, etc.), guides, and excursions. No services are reserved prior to booking confirmation. 

Should a proposed hotel become unavailable, we will, where possible, offer a comparable alternative and seek your approval. Occasionally, a more expensive option may be the only available solution. 

Budi Tours will provide a final booking confirmation including an overview of the confirmed travel dates, itinerary, hotels, room categories, all transportation, and excursions, together with the invoice containing the payment details. 

Terms and Conditions of Booking:

  1. Prices are valid only for the travel proposal as described and confirmed. If you change destinations, dates, or hotels, we will send a new quote. Room availability is only known once the booking is made.
  2. Prices are valid until the date mentioned in the travel proposal. If you book after that date, changes in exchange rates may affect the quoted price.
  3. Prices are based on the current conditions in Indonesia. We reserve the right to charge any subsequent increases in fuel prices and government-imposed taxes (BBM), as well as increases in entrance fees for attractions included in the itinerary.
  4. This trip is planned based on the current situation in Indonesia. Natural events can’t be predicted and may cause changes to the route or daily schedule while you are traveling. Any extra costs caused by this will be the traveler’s responsibility.

International and domestic flights

Your international and/or domestic flights may be arranged independently or booked through us. We will first provide a non-binding quotation. You may then choose to hold a no-obligation option for a limited time. After this period expires, the option will automatically be released and no rights can be derived from the previously quoted price. 

Should a booking be made within the option period, we require the names as shown in the passports in order to convert the option into a confirmed booking. Tickets are processed immediately and must be paid for upon booking (an invoice with payment details will be provided). Once payment has been received, the tickets will be issued and sent to you by email, if requested.

Payment Terms – Individual Travel

When you book a trip with Budi Tours and we have confirmed your booking, the following payment terms apply: 

Payment Terms – Group Travel

When you book a group trip with Budi Tours and we’ve confirmed your booking, the following payment terms apply: 

  1. A deposit of 15% of the total amount is due immediately after booking.
  2. 40% of the total amount must be paid no later than 2 months before arrival in Indonesia.
  3. The final 45% must be paid at least 1 month before you arrive in Indonesia. 

Payment Terms – Villa

We also offer villas for both short- and long-term stays across various islands. Such bookings generally require a deposit and earlier full payment. Each villa operates with its own payment and cancellation terms, which will be communicated to you separately. We adopt the specific terms and conditions of each villa in full.

Payment Terms International and Domestic flights

If you choose the flight tickets offered by Budi Tours and the booking is made within the specified time period, the following payment terms apply:

  1. 100% payment is required at the time of booking. 

Tickets will be issued immediately upon receipt of payment.

Explanation of Common Terms 

Daily car hire = the daily rental price of the vehicle, including fuel, an English- or Dutch-speaking driver, and the driver’s expenses during the tour.

Driver = the person who drives you. Depending on the travel level you choose, the driver may speak limited or good English or Dutch. The driver’s role is to transport you safely from A to B and to look after the vehicle and your luggage. Along the way, he can provide some explanations and you are welcome to talk with him. However, he is a driver, not a guide.

Guide = the person who sits next to the driver and accompanies you along the way, talking with you about what you see and experience and answering any questions you may have. He or she sits beside the driver but is not required to drive. At many sights, it is usually mandatory to hire an additional local guide.

Transfer = direct transport from one location to another, without stops.

Pax = number of persons (e.g. € xxx/pax = price per person; € xxx/party = price per travel party).

Empty run = the return trip of the vehicle and driver to their home base. Depending on the drop-off location, 1, 2, or more days of daily car hire may be charged.

Overnight bag = a bag containing necessities for one night. This is requested when the vehicle proceeds in advance to your next destination (train station, port, or airport). It will be clearly indicated in the itinerary.

Toll fees = payment for toll roads. These may be charged depending on the pick-up and/or drop-off location (e.g. around Jakarta and Bandung).

Parking fees = fees that must be paid to park the car at sights or shops in a city. You will notice that in Indonesian cities there are many parking attendants (tukang parkir), who help guide cars into parking spaces and, more importantly, assist with leaving safely. 

AC= Air Conditioning

Hotels = the places where you stay overnight.
Surcharges = high-season or peak-season supplements that are applied during certain periods. In addition, (tourist) taxes may be charged per person or per room.

Room type = the category of room reserved or booked for you (e.g. standard, superior, deluxe).

ROH (Run of the House) = no specific preference for room or bed type can be requested in advance. Available rooms are assigned on the day of check-in.

Ferry = costs related to crossings between the different islands.
